PDF Form Builder for Fillable, Signed Documents

People would rather fill in a form on a screen, while your office still needs a document it can file, print or send on. A PDF form builder gives you both from one form.

What you can build

Online forms that end as a PDF copy

Build the form once, share it as a link or an embed snippet, and let people complete it on a phone or a computer. Each submission becomes a PDF copy that lists the answers in the order you laid them out, so the file reads like the paper form it replaces.

Typical documents people build this way:

  • Service agreements with client name, company, start date and a signature
  • Equipment loan forms with item, serial number, return date and a signature
  • Consent and release forms with checkboxes and a signed declaration
  • Job applications with an uploaded resume and a short statement

What appears on the PDF copy

The copy shows each question with the answer given, the signature drawn with a finger or a mouse, and the details of the submission itself. Fields hidden by conditional logic do not clutter the copy, because the person never saw them.

How it works

From a submitted form to a file you can hand over

When someone submits, FormsBuilder stores the answers and prepares the PDF copy with the signature on it. The client receives a confirmation and your team receives a notification. You can then find the submission in the inbox, search for it by name or reference, and download the PDF.

Exporting one submission or many

Open a single submission and download its PDF when you need to attach it to an email or a client file. When a month of work has to move to your accountant or another system, export submissions in bulk, either as PDF copies or as a spreadsheet file. Spreadsheet export is included from the Starter plan at 49 USD a month, while the signature field, the PDF copy and PDF export belong to the Plus plan at 149 USD a month (74 USD a month billed yearly).

Keeping paper out of the process

The old routine was print, sign, scan and email back. With a link, the person completes the form once and signs on screen. Add a file upload field for supporting papers such as an ID copy, and those files stay attached to the same submission.

Getting the document right

Fields that make a clean PDF

A tidy PDF starts with a tidy form. Use clear labels, mark the fields you need as required, and use date and number fields so answers come back in a consistent shape. Validation catches an empty required field or a malformed date before the form can be submitted.

Approvals before the document is final

If a signed form needs a manager to look at it first, add an approval step. The decision is saved with the submission, so the record shows who decided and what they decided. For forms that collect money as well, the payment step can sit before the signature, and the submission is saved only after payment is confirmed.
